Job Description:
  • The Facilities Coordinator supports the Senior Director of Facilities in the daily operations of our music publishing offices, ensuring a safe, functional, and inspiring environment for employees, writers, artists, and visitors.
  • This role is responsible for coordinating building services, vendor relationships, maintenance activities, space planning, and workplace experience initiatives.
  • The ideal candidate is highly organized, service-oriented, and comfortable working in a fast-paced, creative environment.
Facilities & Office Operations:
  • Coordinate day-to-day facilities operations in our Santa Monica office and assist local office managers at other Publishing office locations.
  • Serve as the primary point of contact for maintenance requests and building-related issues.
  • Track building maintenance issues to ensure timely resolution.
  • Support space planning, office moves, and buildout projects.
  • Coordinate building and parking access for employees, contingent workers, temps and vendors.
Vendor & Building Management:
  • Liaise with property management and landlords on building services and compliance, providing landlord with certificates of insurance for all external vendors.
  • Coordinate with external vendors (cleaning, security, HVAC, electrical, plumbing, etc.).
  • Coordinate office services and supplies.
  • Support company events, listening sessions, artist showcases and meetings from a facilities perspective.
Budget & Administration:
  • Track facilities-related expenses and assist with budget management.
  • Process invoices and maintain accurate financial records.
  • Maintain inventory of office supplies.
  • Obtain quotes, submit purchase orders.
  • Process a consistently large volume of invoices & expenses.
Qualifications:
  • 2–4 years of experience in facilities, office management, or operations.
  • Experience in a creative, media, or entertainment environment preferred.
  • Strong organizational and multitasking skills.
  • Excellent communication and customer service skills.
  • Ability to troubleshoot minor maintenance issues.
  • Proficiency in Microsoft Office, especially Outlook and Excel.
  • Knowledge of workplace safety standards and building operations preferred.
